Practical Printables · Christmas Budget Planner

Every gift. Every extra. No December surprises.

The Christmas Budget Planner is a Google Sheets template that keeps your whole Christmas on one budget — everyone on your list, every gift, and all the extras that sneak up on you. Set it up now, in November, while there's still time to save — and December runs on rails instead of running over your bank account.

You know how this story ends

Every January, the same moments. None of them are willpower problems — they're what happens when Christmas has no single place to live.

The January money hangover

The statement arrives and the total makes no sense. “How did we spend that much on Christmas?” Nobody can answer — because nobody was tracking it as it happened.

The extras nobody budgets

You budgeted for gifts. You did not budget for wrapping paper, postage, the tree, new lights, holiday food, the work party outfit, and three “quick” grocery runs. The extras are half the bill.

One kid ends up with more — and notices

Kids count. They count gifts, they count stocking stuffers, and they definitely notice when a sibling's pile is bigger. Catching the gap on Christmas morning is too late.

The gift that ships too late

Ordered in plenty of time — or so you thought. It lands December 27th, and you're the person who mailed a card saying “it's on its way.”

Why this one works

7 reasons this planner ends the January hangover

Six connected tabs, each built for one of the moments above. Here's what each one actually does.

The extras are what actually blow a Christmas budget

Gifts are the part everyone plans. The budget actually dies on the extras: wrapping paper and tape, postage for out-of-town family, decor and the tree, holiday food, outings, outfits. The Spending Log exists for exactly that — everything that isn't a gift gets logged as you buy it, not reconstructed from a bank statement in January.

Behind it, 10 renameable budget categories give each kind of spending its own limit — and a category that goes over budget turns red, while it's still November and you can do something about it. Gifts flow into the categories automatically, so the two halves of Christmas spending finally add up in one place.

From the included exampleThe sample family's Dashboard calls it out in plain words: “Decor & Tree is $43 over budget — overall you still fit.” A warning you can act on, not a January surprise.

Your total can't be blown in silence

The Dashboard puts one number at the top: left to spend, against your total budget. Under it: what you've spent, what's still planned, and how much wiggle room is really left. If a category goes over, the Dashboard says which one — and whether you still fit overall.

It's built phone-first, because that's where the decisions happen: standing in the store, cart half full, wondering if this is the purchase that breaks December. Open the Dashboard and you'll know before you're at the register.

The whole Dashboard, top to bottom — one scroll on your phone.

Keep the kids even — automatically

Flag the people you want treated the same with Keep Even, and the planner does the comparing for you. The Dashboard lines up their totals, gift counts, and stocking stuffers side by side and tells you plainly who is behind.

No mental math in the toy aisle, no Christmas-morning pile audit. If one kid is a gift short in mid-December, you find out while there's still time to fix it quietly.

From the included exampleThe sample family's flag reads: “Leo is $38 behind Ava · 1 fewer gift.” That's the whole feature in one line — you'd rather read it in November than hear about it on December 25th.

Nothing ships late

You set your mail-by date once, and the Dashboard counts down to it right next to the Christmas countdown. Every gift on your list has a Shipped checkbox — and if an online order's arrival date lands after your mail-by date, that gift gets an arriving-late flag while you can still change plans.

Out-of-town family stops being a leap of faith. You can see what's mailed, what's still sitting by the door, and what's cutting it close.

It does the save-up math from today

“We should have saved for this” is a December feeling. This planner turns it into a November number: it takes what's still planned, divides it by the weeks left, and tells you exactly what to set aside — each week, or each 2-week paycheck if that's how you get paid. Money you've already set aside lowers the amount automatically.

Three countdowns keep it honest: days to Christmas, to your mail-by date, and to your done-shopping date. Set it up this week and the plan is small, weekly, and done before the rush.

From the included exampleThe sample family's save-up line: set aside $85 a week (or $170 per 2-week paycheck) to cover what's still planned. Your number comes from your budget and your dates — the sheet does the division.

The whole Christmas on one screen

The Gift List holds up to 80 gifts and 20 people, each person with their own budget and a running total on every row. Every gift gets four checkboxes — Stocking, Bought, Wrapped, Shipped — and the Dashboard rolls it all up: bought, wrapped, and shipped counts, plus who is done and who still needs a gift.

One screen answers the three questions December asks you daily: What's left to spend? Who's left to buy for? What's left to wrap? And the sixth tab keeps the rest of the season in the same place — a Christmas card list (photo card and sent checkboxes, stamps still needed) and a ready-made holiday to-do list with dates.

All six tabs — connected, so a gift you tick off updates the Dashboard and the categories on its own.

Buy it once, use it every year

Most Christmas systems are a notebook you lose by February. Leave the year blank in this planner and it rolls itself to next Christmas — countdowns, to-do dates, and all. Each January, clear the lists and go again with everything already set up.

It comes in two versions: a filled Example, worked through for a sample family so you can see exactly how everything connects, and a clean Blank ready for your people and your numbers. One rule to learn: blue cells = type here. Everything else fills in by itself.

Straight answers

Questions, honestly answered

Do I need Google Sheets?

Yes — the planner runs in Google Sheets, which is free with a Google account. It works in any browser on a computer and in the free Google Sheets app on your phone or tablet. The Dashboard was designed to be read on a phone, in a store, mid-decision.

Does it work in Excel?

No — it's built for Google Sheets. The checkboxes and some formulas may not work in Excel, so please plan on using it in Google Sheets (free) as designed.

When do I get it?

Immediately. It's an instant digital download — after checkout on Etsy you download the Start Here guide PDF, tap the copy links inside, and choose “Make a copy.” Your own Example and Blank versions land in your Google Drive. No physical item is shipped.

Can I reuse it next year?

Yes — that's the idea. Leave the Christmas year blank and the planner rolls to next Christmas by itself, countdowns and to-do dates included. Each January, clear the lists and you're set up again. One purchase, every year.

What if something doesn't work?

Message the Practical Printables shop on Etsy and we'll help you get it working. Because it's a digital download, returns and exchanges aren't accepted — but if a link or a formula isn't behaving, we want to fix it for you.
